We ask all partners to help with the following steps before delivering materials for digitization.
Talk to Us
While we do not require any formal paperwork ahead of time, we do ask all partners to get in touch to talk through the materials they’d like to bring and their goals and timelines. We will let you know when we can fit your materials into the queue and then schedule a dropoff time or let you know our shipping address.
Check the Physical Condition and Subject Matter
We will be able to return materials faster to you if you are able to remove staples from corners, make sure pages are laying flat, and remove duplicates. In addition, please take a look at these guidelines and review the subject matter of the materials you’d like to send.
Send Us Any Metadata or Inventory Information You Have in Digital Format
While not required, it’s always helpful if you can provide any extra information about the items we’re scanning. This might be from a catalog, accession records, inventories, or other databases. Digital format is preferred, but even if it’s printed we can add that information to the online records we create.
Box Up and Deliver or Ship Materials
We ask all partners to deliver their materials boxed or contained in some sturdy way for storage in our secure stacks. If delivering materials, we will provide you with a parking pass and directions to the Wilson Special Collections Library Loading Dock. Please contact us if you have any questions.
